Terms and Conditions


Please read these Terms and Conditions carefully. They define the responsibilities, limitations of liability, and conditions under which tours and treks operated by Intrepid Treks are conducted.

By making a booking, paying a deposit, or participating in any tour or trek, you confirm that you have read, understood, and accepted these Terms and Conditions.


1. Reservations and Payments

A deposit of 40% of the total tour price is required at the time of making a reservation. The remaining balance must be paid no later than 60 days prior to the departure date.

Intrepid Treks reserves the right to cancel any booking for which full payment has not been received by the due date. In such cases, the deposit paid will be forfeited.

A tour is only considered confirmed once all required deposits have been received from all traveling parties. All services included in a proposed itinerary are subject to availability at the time the deposit is received.


2. Cancellation Policy

Cancellation charges are applied as follows:

  • 32 days or more prior to departure: 25% of the total tour price
  • 8 to 32 days prior to departure: 50% of the total tour price
  • 7 days or less prior to departure: 100% of the total tour price

Cancellations must be made in writing via email.

Please note that where bookings involve third-party services such as accommodation or transport, any cancellation charges imposed by those providers are the responsibility of the client.


3. Alterations by the Client

No administrative fee is charged for itinerary changes requested before the full payment due date, subject to availability.

Once full payment has been made, Intrepid Treks cannot guarantee that changes will be possible. Some alterations may result in additional charges.

After an itinerary has been confirmed and bookings have been secured, Intrepid Treks reserves the right to refuse further changes.


4. Alterations by Intrepid Treks

All prices are based on costs and exchange rates at the time the quotation is prepared. A surcharge may apply in the event of significant changes to:

  • Transportation costs, including fuel
  • Government taxes, park fees, levies, or tolls
  • Exchange rates

Intrepid Treks reserves the right to modify, substitute, or cancel any itinerary in whole or in part. Where possible, alternative arrangements of comparable value will be offered. If no suitable alternative is available, a refund may be provided at our discretion.


5. Weather Conditions

Intrepid Treks cannot be held responsible for weather conditions. Tours, treks, or activities cannot be canceled, amended, or refunded on the basis of weather-related circumstances.


6. Tour Prices

Tour prices are quoted based on the services outlined in the itinerary. Prices displayed on the website are subject to change and are only confirmed once a deposit has been received.


7. Passports and Visas

Clients are responsible for ensuring that they meet all passport and visa requirements. Visa regulations vary by nationality. A tourist visa is generally required for visits to Tanzania and may be obtained in advance or upon arrival at Kilimanjaro International Airport.

We recommend consulting a travel agent or official government source for the most current requirements.


8. Health Requirements

Clients are strongly advised to consult a medical professional or local health authority at least 8 weeks prior to travel.

Yellow Fever vaccination certificates may be required at ports of entry depending on travel history.


9. Luggage Allowance

Luggage is limited to 20 kg per person for trekking tours. Excess luggage may not be accepted due to porter welfare and safety regulations.


10. Travel Insurance

Travel insurance is not included in any tour price. All clients must obtain comprehensive travel and medical insurance prior to departure.

Special Requirement for Kilimanjaro and Mount Meru Climbs

Clients climbing Mount Kilimanjaro or Mount Meru must have insurance that covers high-altitude trekking and emergency medical evacuation up to at least 6,000 meters above sea level.

It is the client’s responsibility to confirm this coverage with their insurance provider.


11. Operational Responsibility

Intrepid Treks reserves the right to make changes to accommodation, meals, vehicles, schedules, or routes when necessary for operational, safety, or environmental reasons.

Every reasonable effort will be made to inform clients of significant changes before the start of the tour.


12. Liability

Intrepid Treks does not accept liability for injury, illness, loss, damage to personal property, accidents, delays, or irregularities caused by:

  • Acts of nature
  • Weather conditions
  • Government actions
  • Mechanical failure
  • Acts or omissions of third-party service providers
  • The actions or negligence of the client

Participation in adventure travel, trekking, and mountaineering involves inherent risks. Clients acknowledge and accept these risks by joining any tour or trek operated by Intrepid Treks.


13. Acceptance of Terms

Payment of a deposit, confirmation of a booking, or participation in any tour constitutes full acceptance of these Terms and Conditions.
